About Anrich Vets: We are a tier 3 hospital and nurse training practice, and amongst our biggest asset, the team, we have a wide range of services and equipment that ensures that no two days are the same (www.anrichvets.co.uk). We have a grooming salon within the practice and also a grooming school that is very popular (www.groomingcourses.co.uk) . We also have a sister company called Northwest MRI & CT that offers an outpatient service to other vets in the northwest area, this has been in steep growth over the past couple of years and is a credit to the work the team have put into it (www.northwestmrict.co.uk). Finally, we have a swimming pool that we use post operatively in many cases.

Why does this role exist? Our receptionist role is quite simply to make sure that the client feels comfortable as soon as they contact us either as they call us or when they walk through the door. Whether it is a new puppy at the start of our relationship for vaccinations or an old grey whiskered friend for euthanasia, it is our job to ensure an efficient, sympathetic and caring experience. Our focus is the best outcome for the animal – not the cheapest outcome for the client or the quickest outcome for the vet. We want a receptionist that understands the whole picture, understands the range of treatments that best suits the animals needs and help the client understand the recommended next steps.

 

Overview of Position To ensure provision of excellent customer care with an emphasis on telephone manner while managing the diary bookings, telephone enquiries and PMS data. Ensure enquiries are promptly attended to and the best care for the pet and client is carried out. This role involves a lot of computer work so general computer knowledge is essential. This position is a very exciting one as no two days will be the same, you must be versatile and a natural problem solver.

 

 

The position work hours are: Monday- Friday 3pm-7pm and some Saturdays 8.30am-3pm 20 hours per week. These normal hours of work may be varied to meet the needs of the business. Applicant must be flexible.

 

What are the underpinning knowledge and skill required for this position?

  • Experience in Veterinary Reception and practice environment
  • Providing excellent client and pet care
  • Running or showing the ability to run a Customer care/Reception team
  • Maintaining clinical Records
  • Communication and leadership
  • General computer skills

 

Specific Duties/Responsibilities

  • Customer care calls
  • Booster reminders (post cards, email and text’s)
  • Keep waiting areas clean and tidy
  • Healthcare plan admin work
  • Ensure post is posted
  • Calling clients (pick up ashes, food, move appointments etc)
  • TV channel updated and turned on
  • Shelves look presentable and clean
  • Keep reception area clean and tidy
  • Send out client welcome packs to all new clients
  • Book vet and grooming appointments
  • Report all low stock to managment for reordering
  • Ensure we are fully stocked of all leaflets, coupons and point of sale.
  • Input blood results onto patients record
  • Operate filing systems for all daily paperwork.
  • Answer all inbound calls (or make sure there is someone to answer them)
  • Free treats for clients are to be made up and offered
  • Change for the till stocked
  • Facebook posts including a Friday quiz/fact
  • Take payments on reception
  • Check till am and pm
  • Send history as requested (check with management if outstanding balance)
  • Save all histories, lab results or any others docs on clients record
  • Keep diaries up to date with vets holidays or any other events
  • Organizing puppy parties and making up packs for them all
  • Calling clients the day before puppy party to make sure they all come.
  • Attend and contribute to team meetings
  • Check and keep up to date with all tmails from management
  • Vaccination cards
  • Monitor cleanliness for all front of house.
  • Accurate clinical and financial client records
  • Maintain Client and patient records
  • Payment by client on leaving the surgery
